This notice explains how Lovegrove Churchill Ltd uses personal information when you enquire about or make a direct booking at Lovegrove Cottage.

1. Who controls your information
Lovegrove Churchill Ltd is the data controller. It is registered in England and Wales under company number 14301153, with its registered office at 5 Brayford Square, London, England, E1 0SG.
For privacy questions or requests, email lovegrovecottage@gmail.com or use the enquiry form and write “Privacy request” at the start of your message. If you have already booked, you can also reply to your booking confirmation.
2. Information we collect
- Enquiry details, including your name, email address, optional phone number, requested dates, guest numbers and message.
- Booking and stay information, correspondence, agreed extras and records needed to administer the booking.
- Payment and refund records. Stripe processes card details; we do not receive or store your complete card number.
- Technical information supplied by our website and form providers, such as IP address, device/browser information and submission time.
3. Why we use it and our legal bases

We do not use enquiry details for marketing unless we ask separately and you choose to consent.
4. Who receives it
We share information only where necessary with service providers and advisers, including:
- Formspree, which receives and delivers website enquiry submissions;
- Stripe, which securely processes direct-booking payments and refunds;
- hosting, email, accounting and professional service providers used to operate the business; and
- regulators, law-enforcement bodies or other parties where disclosure is required by law or needed to protect legal rights.
Some providers may process information outside the UK. Where required, they are responsible for using an approved transfer safeguard or another lawful transfer mechanism.
5. How long we keep it
- Enquiries that do not become bookings, including corresponding Formspree submissions and inbox copies: up to 12 months after the last contact, after which they will be deleted or anonymised.
- Booking, payment and accounting records: normally six years after the end of the relevant financial year.
- Complaint, security-deposit or legal-claim records: for as long as reasonably required to resolve the matter and meet legal limitation periods.
We may delete or anonymise information sooner where it is no longer needed.
6. Your rights
Depending on the circumstances, you may ask for access to your information, correction, deletion, restriction, portability, or object to its use. Where processing relies on consent, you may withdraw that consent at any time. These rights are subject to legal exceptions.
If you are unhappy with how we use your information, please contact us first so we can try to resolve it. You can also complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint.
7. Information needed to respond or book
The enquiry form identifies which fields are required. Without your name, email address, requested dates and guest number, we may not be able to answer the enquiry or prepare a booking. Optional information is clearly marked.
8. Website services and updates
The current website does not use advertising or analytics cookies. It loads fonts from Google and uses Formspree for the enquiry form; those providers may receive basic technical information when their services load. If the website later adds analytics, advertising or other non-essential cookies, this notice and the website’s consent controls should be updated before they are used.
We may update this notice when our services or legal obligations change. The latest version will be published on this page with a revised date.
